How to import members into Fitnexa from a CSV or Excel file

Move your existing member list into Fitnexa in one go: download the CSV template, fill in names, contacts and plan codes, upload it and fix any failed rows.

Moving from a spreadsheet or another gym software? Import lets you add all your members at once from a CSV file — the format Excel and Google Sheets can save as.

Step by step

  1. Open Import and download the template

    Go to Members & Staff › Members and click Import. In Import members, click Download CSV template to get fitnexa-members-template.csv. To the right of the member columns it has two reference tables — your plans (code, name and days) and the member statuses with what each means — ready to copy from.

  2. Fill in the template

    Keep the header row. One member per row. The columns are fullName, email, phone, memberCode, planCode, startDate, endDate, status and medicalNotes. Only fullName is required.

    To give someone a membership, fill in both planCode (the plan's Code, e.g. MONTHLY) and startDate as DD/MM/YYYY (day first — 15/01/2026 is 15 January). endDate is optional — leave it blank and the membership runs for the plan's days, or fill it in to keep the end date from your old system.

    Copy planCode and status values from the Plan code and Status tables to the right of the member columns. Leave those tables in place; the import ignores them. A blank status becomes ACTIVE when a plan is given (or EXPIRED if the end date has already passed), and TRIAL otherwise.

  3. Upload and import

    Back in Import members, click Choose CSV file and pick your file. Check the count, then click Import (it shows the number of rows, e.g. Import 148).

  4. Check the result

    You'll see a summary such as Imported 145 of 148 · 3 failed, followed by a line per failed row (Row 12: …). Fix those rows in your file and import just them again.

If something goes wrong

No data rows found in the file.
The file only has a header row, or it isn't a CSV. Add members below the header and save as CSV.
Missing a 'fullName' column — use the template.
Your header row doesn't match. Download the template again and paste your data under its headers.
A row failed because of the plan
planCode must match a plan's Code exactly, and startDate must be set too. Check the code under Plans and Programs › Plans.
Member created, but the start date / end date is not a valid DD/MM/YYYY date.
Write dates day first, as DD/MM/YYYY (e.g. 15/01/2026), with endDate no earlier than startDate — or leave endDate blank to use the plan's days. Dates are always read day first, whatever date format your computer uses.
I don't see the Import button
Your role doesn't have Import / export members. Ask an admin.

Common questions

Will imported members get an email?

Members with an email address can use the Fitnexa app with your center. You can also share their invite link from their profile.

Can I import payment history or invoices?

No. The import adds members and, optionally, their current membership. Create invoices separately.
