How to add your GST number and logo to Fitnexa invoices

Put your GSTIN, business name, address and logo on every invoice from Settings › Invoice Template, and set the GST rate on each membership plan.

The invoice template decides what your members see at the top and bottom of every invoice: your logo, legal business name, GST number, address and a footer note. Each branch has its own template, and an invoice always uses the template of the branch it belongs to, including PDFs and printed copies.

The GST percentage itself isn't part of the template — it's set on each membership plan, so different plans can carry different rates.

Step by step

  1. Open Settings › Invoice Template

    Click More, then Settings under Admin, and open Invoice Template.

    If your center has more than one branch, choose the Branch whose template you're editing. Staff and branch admins only see their own branch's template. A new branch starts with a copy of the main branch's template.

    In the Admin menu, open More, then select Settings.

  2. Upload your logo

    Click Upload and choose your logo. It must be 500 KB or smaller — a PNG with a transparent background looks best.

  3. Fill in your business details

    Enter your Business name exactly as it's registered, your 15-character GST number, Address line 1, Address line 2, state, city and PIN/ZIP, plus the Phone and Email members should use for billing questions.

    Add a Footer note for anything you want on every invoice, such as your refund policy. Watch the Invoice preview update as you type, then click Save details. To use the same details everywhere, click Apply to all branches instead.

  4. Set the GST rate on your plans

    Open Plans and Programs (under More › Operations), edit each membership plan and set its Tax Rate (%) — for example 18. New invoices for that plan pick the rate up automatically.

    In the Admin menu, open More, then select Plans and Programs.

If something goes wrong

My logo won't upload
It's probably over 500 KB. Resize or compress it and try again.
The GSTIN doesn't show on invoices
Make sure you clicked Save details after entering the GST number, then reopen the invoice — the Invoice preview shows exactly what will print.

Common questions

Can I charge different GST rates on different plans?

Yes. The rate lives on each plan's Tax Rate (%), so a personal-training plan can differ from a gym membership.

I'm not GST-registered. Do I have to fill this in?

No. Leave GST number blank and set Tax Rate (%) to 0 on your plans. Your other details still print on the invoice.
