How to email, download or print a member's invoice
Open any invoice in Fitnexa to download a PDF, print it, or email it to the member with a PDF attached. Also explains the monthly invoice email limit.
Once an invoice exists you can hand it over in three ways: send it by email, save a PDF to share on WhatsApp, or print a paper copy at the desk.
Step by step
Open the invoice
Go to More › Invoices, find the invoice (use the status chips or scroll) and click Open → on its row.
Invoice # Issue Date Due Date Total Paid Balance Status Action INV-2026-0142 25 Sep 2026 2 Oct 2026 ₹7,080 ₹7,080 ₹0 PAID Open → INV-2026-0141 24 Sep 2026 1 Oct 2026 ₹1,770 ₹0 ₹1,770 SENT Open → Download or print
Click Download PDF to save a copy, or Print to open your browser's print window. The Payments & refunds panel beside the invoice is for you only — it isn't printed.
Email it to the member
Click Email invoice. Send to is filled with the member's email — change it if they want it elsewhere. Add a short Message, keep Attach a PDF copy ticked, and click Send invoice.
If something goes wrong
- Limit reached when emailing an invoice
- Your Fitnexa plan includes a monthly number of invoice emails, and it's used up. Use Download PDF and share the file instead, or see your usage under Settings › Fitnexa Plan. The count resets next month.
- The member didn't get the email
- Ask them to check spam, and make sure the address in Send to is right. You can always send the PDF over WhatsApp.
Common questions
Can I send a payment link with the invoice?
No. Members pay at your front desk, and you record the payment on the invoice. The email is for their records.
Can members download invoices themselves?
Yes. Members see their invoices under Billing in their own Fitnexa account.
