How to record gym expenses like rent, salaries and equipment

Log rent, electricity, salaries, equipment and other costs in Fitnexa Expenses, see spend by category, and feed your profit and loss report automatically.

Recording your costs in Fitnexa means your Profit & Loss report shows real profit, not just revenue. Add each expense as it happens — rent, the electricity bill, trainer salaries, a new treadmill.

Step by step

  1. Open Expenses

    Click More, then Expenses under Finance, and click Add Expense.

    In the Admin menu, open More, then select Expenses.

  2. Fill in the expense

    Pick a Category: RENT, UTILITIES, EQUIPMENT, MAINTENANCE, SALARIES, MARKETING, SUPPLIES or OTHER — or add your own with New category. For SALARIES, choose who it was Paid to.

    Enter a Description, the Amount and the Date. If you bought stock to sell (like supplements), link it under Stock purchase (optional). Click Add Expense.

  3. Review your spending

    Choose a period — This month, Last month, Last 90 days, This year, All time or Custom. The cards show Spent · This month, the number of Entries, your Top category and the Average entry. Expenses by Category breaks it down, and the Expense Log lists every entry.

Common questions

Do expenses show up in my profit and loss report?

Yes. The Profit & Loss view in Reports › Finance subtracts your expenses from your revenue.

Can I export my expenses for my accountant?

Yes. In Reports › Report Builder, choose the Expenses dataset and click Download CSV.
