Check-in desk errors in Fitnexa and what they mean
What each Fitnexa Check-In Desk message means — member not found, duplicate check-in, expired QR, invalid membership, no booked slot — and how to fix it.
When a check-in can't go through, the desk shows a red message starting with ✗. Here's what each one means and what to do.
An amber ⚠ message is different: the member *was* checked in, but there's something to check with them — for example ⚠ Rahul Sharma checked in — membership expires in 2 days. Please check with the member.
Reading the result
Green is a success, amber is a warning, red is a failed check-in. Every attempt also appears in Recent Events, where warnings are tagged FLAGGED.
✗ Membership not valid for check-in
If something goes wrong
- No member found with code or phone: …
- The code or phone doesn't match anyone at this center. Check for typos, or search Members & Staff by name to find their member code.
- Duplicate check-in detected
- They were checked in within the last 5 minutes. Nothing to do — the first check-in counts.
- Invalid or expired QR code
- The pass on their phone has timed out. Ask them to reopen their check-in pass and scan again, or type their member code instead.
- QR code belongs to a different organisation
- The member opened the pass for another center they belong to. Ask them to switch to your center in their app.
- Membership not valid for check-in
- Their membership has expired, is frozen, or hasn't started. Open their record to check, then renew it or create an invoice if needed.
- Koramangala is suspended and cannot accept check-ins.
- This branch has been suspended in Fitnexa. Tell your manager or admin — staff can't change this.
- No booked slot for this check-in. This center only allows check-in with a booked session.
- Your center requires a booking to enter. Book the member into a session first, then check them in.
- No scheduled session within 30 minutes of now.
- Their booked session is more than 30 minutes away. Ask them to come back closer to the start time, or check their booking.
- Network error. Try again.
- Your connection dropped. Check the desk computer's internet, then click Check In again.
Common questions
Can I override an error and check the member in anyway?
No. Fix the cause first — for example renew the membership — then check them in again.
