How to control what staff and trainers can see and do
See what the built-in Staff and Trainer roles can do by default, and untick capabilities to restrict them — for example hiding invoices from the front desk.
Every staff member and trainer gets the capabilities of their role. You can switch individual capabilities off for the whole role.
Step by step
Open Roles & Permissions
Go to More › Settings › Roles & Permissions and scroll to Built-in Roles.

Expand Staff or Trainer and untick
Click the role to expand it. Under Capabilities — uncheck to restrict, untick anything that role shouldn't do and click Save.

What Staff can do by default
View members; Manage members & memberships; Check members in / out; Manage attendance; Manage classes & schedules; Manage 1-to-1 sessions; View billing; Manage invoices; Use POS; Manage leads (CRM); Manage lockers & add-ons; Issue guest passes; View & manage reminders; Manage tickets; Message members & staff.
Not by default: Manage billing, Issue refunds, Manage pricing plans, Manage training programs, Manage trainers, Manage staff, Import / export members, Manage devices & Face ID, Open gates remotely, Manage expenses, Manage inventory & assets, and Send notifications & manage groups. Tick any of these on the Staff role to allow them for all staff.
What Trainers can do by default
View members, Manage 1-to-1 sessions, Manage training programs, Member progress, Manage classes & schedules, Manage attendance, and Message members & staff.
Trainers can never be given Finance, Assets or Admin permissions.
Common questions
Can I restrict one staff member but not the others?
No. Permissions apply to everyone in the role. If one person needs to do more, make them a Gym Admin; if they should do less, change the Staff role for everyone.
Why can't a staff member see a page after I changed permissions?
Unticking a capability hides the matching pages and buttons. Tick it again and click Save to restore them.
