How to view bookings and manage your reminders as staff

See who's booked into each session, book members in, mark attendance, and work through payment, birthday and sales reminders on the Reminders page.

Bookings shows each day's sessions and who is booked on them, so you know who to expect — and lets you book members in and mark who turned up. Reminders is your to-do list for collecting payments, wishing members happy birthday and following up leads.

Step by step

  1. Check Bookings

    Click Bookings in the menu. Pick a day with Prev, Next or the date box; the cards show Sessions, Seats Booked, Capacity and Full Sessions. Click a session to see its members, waitlist and trial guests.

    Next to a booked member, click Attended or No-show. Undo puts a mis-tap back. Cancel releases the seat to the waitlist. Click Book member to find a member by name, code or phone and book them in — their plan and the center's closed dates are checked just as when they book themselves. Add trial guest books someone who isn't a member yet.

  2. Open Reminders

    Click Reminders in the menu. Pick a tab — Payments, Birthdays or Sales CRM — and a date. The line at the top counts past, upcoming and overdue reminders.

  3. Act on each reminder

    Use View to open what it's about, Mark task as complete when you've done it, or Dismiss if it's no longer needed. Tick Show completed to see finished ones, and click Reopen to bring one back.

Common questions

Where do reminders come from?

From invoices (Remind me to collect this payment or Set reminder), member birthdays, and lead follow-ups you schedule in Leads CRM.

Can I mark a booking as attended?

Not from Bookings. When the member checks in, their attendance is recorded.
