How to track gym enquiries and leads in the Fitnexa CRM
Add enquiries to the Fitnexa Leads CRM, follow them up, start a trial or convert them into a member with a plan, and keep a noted history of every change.
Every person who calls, walks in or messages you about joining is a lead. The Leads CRM keeps them in one list with their status, who's handling them and when to follow up, so nobody falls through the cracks.
Moving a lead to TRIAL or CONVERTED creates their member account for you, so you don't have to register them separately. Join requests people send from Find Centers in the Fitnexa app arrive here automatically.
On the website, open More › Sales › Leads CRM. In the Fitnexa app, open Leads.
Step by step
Open Leads CRM
Click More, then Leads CRM under Sales. The cards count leads in each stage: NEW, PROSPECT, TRIAL, CONVERTED and LOST. Use the search, All Statuses and the From/To dates to filter the list.
In the Admin menu, open More, then select Leads CRM.

Click Add Lead. Enter the Full Name, Email and Phone, where they heard about you under Source (for example Instagram or Walk-in), their Status — NEW, PROSPECT or LOST — and what they're Interested in (services). The lead is assigned to you. Click Add Lead.
If a member with that email already exists, Fitnexa won't add the lead: you'll see This person is already a member, with a link to their profile.
Edit details and follow-ups — with a note
Click a lead's name to open their profile. It's read-only: to change the Contact details or the Pipeline status, click that section's Edit (Cancel backs out).
Every change needs a note — saving contact details, changing the status, or changing the follow-up. Save stays disabled until you've written one.
Under Follow-up, pick a Date & time, write the Note and click Schedule follow-up — it appears in Reminders › Sales CRM.

Click Edit on Pipeline status, choose the new status and write the note. Fitnexa then shows what will happen and asks you to confirm — nothing is saved until you do.
TRIAL also asks for the number of days and a start date. On confirming, Fitnexa creates the member from the lead — name, email, phone and the services they were interested in — with that trial, links the lead to the member and marks the lead TRIAL.

Choose CONVERTED and continue into the membership plan step: pick the Plan and start date, and Fitnexa raises the invoice. If you can manage billing, you can record the payment there too. If the invoice isn't paid, Fitnexa asks The invoice is unpaid. Activate the membership now?
The confirmation reads, for example, Change status to CONVERTED? This creates a member account for Aditya Kulkarni and raises the plan invoice. If the lead already had a trial, their trial member account is used — no second account is created. The lead becomes CONVERTED.
If a member already has the lead's email, Fitnexa offers to link the lead to that member instead of creating a duplicate.
Read the History
The History timeline on the right of the lead's profile (Timeline in the app) shows exactly what changed — each field as, for example, Email: old → new, and the status as Status: PROSPECT → TRIAL — with the note, who made the change and when. Saving details without changing anything adds nothing.
Common questions
Where do join requests from the Fitnexa app go?
They arrive in Leads CRM as new leads, with the person's name and contact details.
Do members I register from Members show up here?
Yes. A member added from Members is also recorded in the CRM — as TRIAL if they joined on a trial, CONVERTED otherwise.
Why can't I pick TRIAL or CONVERTED?
Both create a member account, so they also need Manage members & memberships. Ask an admin to add it to your role.
Can I delete a lead?
Yes. Use Delete Lead on the lead's row. This can't be undone.
