One member record, not four

Most fitness centers end up with a member's details in several places at once — a lead in a notebook or a WhatsApp thread, a name in the billing book, a row in an attendance register, and a photo somewhere on the front-desk computer. Each copy drifts from the others, and the one the staff member happens to open is the one that gets acted on.

The lifecycle a membership actually has

Memberships are rarely a clean twelve months. People freeze for a month because of travel or injury, renew late, or come back after a gap and expect their old history to still be there.

Each of these is a first-class operation rather than a workaround. A freeze — started now or scheduled ahead — credits the frozen days back to the end date instead of asking someone to remember. Memberships expire on their own and the member's status follows, so nobody has to calculate a date correctly at the counter.

Leads, and what happens to them

A lead is a member who has not decided yet, so it lives in the same system rather than a separate CRM. Enquiries capture into a pipeline with owners and follow-up dates, and a lead that converts becomes a member without anyone re-typing a phone number.

The value is in what the pipeline shows you afterwards: how many enquiries arrived, how many were followed up, and how many joined. A fitness center that does not have those three numbers cannot tell the difference between a marketing problem and a follow-up problem.

Renewals before they lapse, not after

Renewal and churn alerts run against the memberships themselves. The front desk gets a working list of who is expiring and who has already lapsed, and members get reminders through their own notifications rather than depending on someone finding time to call.

Attendance feeds the same picture. A member who has stopped coming three weeks before their renewal date is a different conversation from one who is still training four times a week, and the difference is visible before the renewal comes up rather than after it is missed.

Consent and the audit trail

Face ID consent is recorded against the member, with when it was given. Every change to a member — who made it, when, and what it was — is recorded in the activity log.

That matters most when it is least convenient: a disputed charge, a lapsed membership someone insists was frozen, or a question about when consent for Face ID was given and by whom.

Common questions

Can a member belong to more than one branch?
Yes. The member record is held at the organisation level rather than inside one branch, so their history stays in one place. Staff assigned to a branch work with that branch's members; owners see everyone.
What happens to a membership when a member freezes it?
The end date extends by the length of the freeze and the record shows the frozen period. Nobody has to recalculate the expiry date by hand.
Can we import our existing member list?
