Gym attendance software with Face ID check-in

Members walk in and are through the door. No queue at the desk, no paper register, and a record of every attempt — including the ones that failed.

Face ID on a dedicated front-desk device

Face check-in runs on a dedicated device at the branch entrance rather than on anyone's phone. A member stands in front of it and is recognised; there is nothing to tap, unlock, or remember. Enrolment starts in the member's app and is completed on the same device, with an explicit consent step recorded against the member.

Matching is done server-side against a face descriptor, with liveness checks and a match threshold you can tune for your centre — a busy entrance in poor light is a different problem from a quiet studio.

The reason it is device-bound rather than phone-based is deliberate. Attendance that a member can trigger from anywhere is not attendance; it is a self-report. Tying enrolment and check-in to a device that physically sits at your entrance is what makes the record mean what it says.

What happens when it does not work

Biometrics fail. Faces change, lighting is bad, someone is wearing a mask or a helmet, the camera is dirty. What separates a usable system from a frustrating one is what happens in that moment.

When a match fails, the member uses the QR code in their app at the desk, or staff check them in by member code or phone. Whichever way it goes, the outcome is recorded.

Every attempt is logged, not just the successful ones

Success, mismatch, timeout and override are all recorded with a timestamp, the device involved, and — for an override — who authorised it. A review queue surfaces the attempts that need a human look.

A log of successes alone tells you nothing useful. The mismatches are where you find the member whose enrolment needs redoing, the camera that needs cleaning, and the override that should not have been given.

Entry rules instead of judgement calls

Whether an expired or frozen member can walk in — or a member who has not booked the class — is a setting rather than a decision made at the gate. The rule is applied at check-in the same way for everyone, instead of relying on the desk to remember.

What attendance data is actually for

Attendance is the earliest honest signal of churn you have. A member whose visits have dropped off is going to lapse at renewal, and that is visible weeks in advance if anyone is looking.

The same data tells you when your floor is genuinely full, which is a staffing and equipment question rather than a guess about which hours feel busy.

Common questions

Can members check in with their phone instead of their face?
Yes — the QR code in the member app always works at the desk, and Face ID can be switched off entirely if you would rather not use biometrics at all.
Where is face data stored, and do members have to consent?
Enrolment includes an explicit consent step recorded against the member record, and matching is done server-side against a stored descriptor rather than an image sitting on the device at your front desk.
Does check-in still work if the internet drops?
No. Face matching happens on the server, so the device needs a working connection — put it where Wi-Fi is reliable. Nothing is recorded as a check-in that did not happen.
