Plans defined once, sold in seconds
Membership plans are defined once — monthly, quarterly, annual or any duration — with a price, an offer price, a tax rate and, if you want, a booking allowance. Selling one at the desk raises the invoice with the right amounts already on it.
This is the difference between billing being a task and billing being a system. A fitness center running on a notebook loses money in the gaps: the renewal nobody raised, the discount nobody wrote down, the balance nobody followed up.
Tax that is calculated, not appended
Each plan carries its own tax rate, and tax is worked out on the server after discounts and coupons — not typed in at the counter. Every invoice can be downloaded as a PDF with your logo or emailed straight to the member.
An invoice that states tax incorrectly is a filing problem later, and it is discovered at exactly the wrong moment. Calculating it the same way every time is the point.
Chasing, without anyone doing the chasing
Overdue invoices escalate on their own. Reminders go out on the schedule you configure, the front desk works from a Pending filter on Invoices that lists every invoice with money still owed rather than a report they have to run, and what happens when a payment fails is a rule rather than a judgement call at the counter.
Where dunning usually breaks down is consistency — some members get chased, some do not, and the ones who do not are the ones who notice. A rule applies to everyone equally.
Walk-in sales on the same ledger
Merchandise, supplements, water and add-ons are sold from the same system as memberships — stock goes down as you sell — so counter sales are not a second set of books at the end of the month.
Coupons, credits, adjustments and refunds are first-class operations with an audit trail, rather than a discount someone applied and a note nobody can find.
Payments, balances and profit
Payments are recorded against invoices — cash, card, UPI, bank transfer or cheque, in full or in part — and refunds are tracked, so every balance is current. Expenses by category sit alongside, and the profit and loss report shows what the period actually made.
Revenue reports show what was billed, what was collected and what is still outstanding, without someone assembling it by hand from several sources.

- Do invoices include tax?
- Yes. Each membership plan has a tax rate, and tax is calculated on the invoice after any discount. Invoices download as PDFs with your logo, for your records and the member's.
- Can different branches sell different plans?
- Yes. Membership plans can be set per branch, with their own prices and tax rates, while revenue and reports stay in one account.
- What happens when a member does not pay on time?
- Overdue invoices trigger reminders automatically, and the front desk sees everything still owed under the Pending filter on Invoices. Separately, you decide whether a member whose membership has expired can still check in — a rule applied consistently rather than a decision made at the desk each time.
